We consist of a network of businesses, community partners, volunteers, and sponsors. The annual Expo offers an intergenerational exchange. The CNYS Black Expo features educational activities for young, old, and in-between. EXPO PRO TIPS

Location. Booth Location Matters!

Stage Area (Upper & Lower Levels) typically high-level noise and less traffic 

Center Area (Upper & Lower Levels) is best for one on one conversations, less noise from the stage area, and repeated foot traffic. 

Egg Base Entrance (Sponsors Only) first to engage with all attendees, and repeated foot traffic. 

Arrive early. This will give you time to set up your booth and get organized before the event starts.

Be prepared. Make sure you have everything you need, including your products, displays, and marketing materials.

Be friendly and approachable. Smile and greet people as they walk by your booth.

Be knowledgeable about your products. Be able to answer questions about what you sell and how it can benefit people.

Display. Executive display for a professional appearance. Check out Pinterest for vendor setup inspiration, get creative.

Offer samples. This is a great way to get people interested in your products.

Run promotions. This could include discounts, coupons, or giveaways.

Network with other vendors. This is a great way to make connections and learn about other businesses.

Follow up after the event. Send out thank-you notes to people who visited your booth.

By following these tips, you can increase your chances of success at your next event. Here are some more helpful tips:

Food sample vendors: Make sure your food is fresh and looks appealing. Offer a variety of options to appeal to a wide range of people. 

Retail vendors: Display your products in a way that is easy to see and shop. Offer a variety of price points to appeal to a wide range of people.

Service providers: Have business cards and brochures on hand so people can contact you after the event. Offer a free consultation or sample service to get people interested.

      TERMS AND CONDITIONS:

      The legal agreements set out below govern your use of the CNYS Black Expo website (“Services”). The rules and regulations set forth apply to all registrations and payment services and are incorporated by reference here. By submitting this application, you agree to these terms.


      NO REFUNDS POLICY

      All sales are final. No refunds will be given for any booth space or other services purchased for this event. This policy applies to all vendors, including food vendors, retail vendors, and service providers.

      There are a few exceptions to this policy. Refunds may be given for booth space or services that are defective or that do not meet the vendor's expectations. Refunds may also be given for booth space or services that are purchased in error.

      To request a refund, please contact us within 24 hours of your purchase. We will review your request and will notify you of our decision within 10 business days.

      If your request is approved, we will issue a refund to the original payment method.

      We appreciate your understanding of our no-refund policy. We believe that this policy is fair to both the vendor and the event organizer.


      EXHIBITOR/VENDOR INFORMATION

      Exhibitor and Vendor information can be found on the website. Remember that this information is subject to change based on venue restrictions and regulations, but all vendors will be notified of any changes. Vendors will receive a copy of the Rules and Regulations upon final payment, and booth selection.

      OVERVIEW OF EVENT LOGISTICS 

      PARKING

      Standard NYS Event Parking Fees Paid Upon Arrival 

      (CNYS Black Expo is not liable for any Parking Accommodations, Ticketing, Towing, etc.)

      SCHEDULING DELIVERIES  

      Deliveries (not part of the normal event load-in) may be scheduled on weekdays between 8 a.m. and 2 p.m., one day prior to an event unless other arrangements are made in advance.

      Licensee must provide the name of the delivery company, the name and ID number of the driver, the vehicle's license plate number and state, and the date and time of delivery a minimum of two days prior to the event.

      Primary access for large freight is P-1 North, Loading Dock A.

      The Convention Center cannot accept COD or delivery charges.

      Materials must be addressed to: Convention Center, P-1 North, Loading Dock A, Empire State Plaza, Albany, NY 12242.

      The name of the event must be plainly noted on the delivery.

      Storage is not guaranteed for early deliveries.

      Delivery of sets, props, musical instruments, lighting, and other technical equipment must be arranged through the Convention Center delivery coordinator.

      LOADING/UNLOADING

      A Loading/Unloading zone is available in the P-1 North parking area and is designated as a 30-minute temporary unloading zone.

      The 10'x12' loading dock door opens to a 24' square elevator (30,000 lb. capacity) that ascends directly into the center of the Convention Hall.
